Restaurant bookkeeping and tax, done monthly

Daily sales from your POS, tips, food and labor cost, sales tax and vendor 1099s, reconciled every month by a dedicated bookkeeper and reviewed by a CPA. Books ready by the 15th, or that month is refunded.

What restaurant books need that generic bookkeeping skips

A restaurant is not a consulting firm with a kitchen. Five things have to be right every month or the P&L is wrong, and most general bookkeepers skip them.

  1. Daily sales by channel, reconciled to deposits

Dine-in, takeout, delivery apps, catering and gift cards are recorded from your POS (Toast, Square, Clover and others), net of card fees, and matched to what actually hit the bank.

  2. Tips and tip-outs recorded correctly

Credit card tips are a liability until they are paid out, not revenue. We book them that way and keep them in step with your payroll reports, so wages, tips and payroll taxes tie out.

  3. Food, beverage and labor as a percent of sales

Your chart of accounts is set up for a restaurant: food cost, beverage cost and labor each get their own lines, so every monthly P&L shows your prime cost percentage, the number that decides whether you made money.

  4. Sales tax, and in Texas, mixed beverage taxes

Taxable and non-taxable sales are separated so the sales tax return is right. Texas bars and restaurants with a mixed beverage permit also owe gross receipts and mixed beverage sales tax, and we prepare those filings from your POS data.

  5. Vendor 1099s and cost of goods sold

Food and beverage purchases are coded to COGS, not lumped into expenses, and inventory counts you give us turn purchases into true cost of goods. Vendors that need a 1099 are tracked all year, not sorted out in January.

What you get every month

On the Bookkeeping and Bookkeeping & Tax plans, last month’s numbers are ready by the 15th. If they are not, that month’s fee is refunded.

  • A restaurant P&L: sales by channel, food and beverage cost, labor, prime cost, occupancy and controllable profit

  • Vendor bills and purchases coded to the right cost line, 1099 vendors tracked
  • A short monthly review of what moved and why, with a real person to ask
  • On Bookkeeping & Tax: year-round tax planning, S-corp review and your business and owner returns filed

Restaurant bookkeeping questions, answered

Do you reconcile my POS sales?

Yes. Daily sales are recorded from your POS by channel and tender type, net of card processing fees, and matched to the deposits in your bank. Toast, Square, Clover and most other systems export what we need; if yours connects to QuickBooks Online directly, we use that feed.

How do you handle tips?

Credit card tips are recorded as a liability owed to staff, then cleared when they are paid out through payroll or cash. Tip income and tip credits stay in step with your payroll provider’s reports so wages and payroll taxes tie out at year end. Payroll itself is a separate add-on. How the FICA tip credit works

What is prime cost, and will I see it every month?

Prime cost is food and beverage cost plus labor, shown as a percent of sales. It is the one number that tells you whether the restaurant made money that month. Your chart of accounts is set up so it appears on every monthly P&L without extra work. How to set up a restaurant P&L

Do you file Texas mixed beverage tax returns?

Yes. Texas restaurants and bars with a mixed beverage permit owe both mixed beverage gross receipts tax and mixed beverage sales tax, on top of regular sales tax. We map your POS sales categories to the right return and prepare the filings from your books. The two Texas rates explained

My books are months behind. Can you catch them up?

Yes. Catch-up is quoted as a one-time project on your free call, based on how many months are behind and how clean the POS and bank records are. The by-the-15th guarantee starts with your first full month after catch-up. How catch-up is priced

Do I keep my own QuickBooks?

Yes. The books live in your own QuickBooks Online account, which you own and can open any time. If you ever leave, your records go with you.

What does restaurant bookkeeping cost?

The same published plans as every other business: Bookkeeping from $292 a month on a 1-year plan ($389 month-to-month) and Bookkeeping & Tax from $517 ($689). Restaurants usually have more transactions than a service business, so your exact price is confirmed on the call and locked for 12 months. See the plans

Do you work with my payroll provider?

Yes. We record payroll from the reports your provider produces (Gusto, ADP, Paychex, Toast Payroll, QuickBooks Payroll and others) and keep wages, tips and payroll taxes in the books. If you want us to run payroll as well, it is a separate add-on quoted on the call.
